Scheduling, Editing & Cancelling Inspections (Manual Process)

Summary
Scheduling, updating and cancelling inspections are regular tasks that property managers have to complete. This article will go through the process for manually scheduling, updating and cancelling inspections.
This scheduling process applies to ingoing, routine and outgoing inspections.

Note: You can also configure automated routine inspection scheduling for residential properties to streamline your inspection process.
Scheduling an Inspection
To manually add an inspection for a Tenant, go to:
- Tenancy > Inspections Tab
- Click the + icon above the Inspections pane
- Confirm or amend the 'Inspection Type' by selecting an option from the drop-down menu
- Select an inspection agent from the 'Assign to' drop-down menu
- Enter an Inspection Date and Between times
- Select a Status from the drop-down menu; the Status will automatically display as per the default selected in Configuration > Management Tasks > Inspections
- Click Save
Other Inspections scheduled on the same date as you have selected will display at the bottom of the 'add inspection' pane so you can plan your day.
Note: Ingoing Inspections can only be scheduled on or before the Lease Start Date and Outgoing inspections can only be scheduled on or after the Lease End Date.
Updating Scheduled Inspections
You can update the date, time and status of a scheduled inspection either manually or using the Bulk Edit Feature. To manually update an inspection for a tenant, go to:
- Tenancy Profile > Inspections Tab
- Trust & Reports > Property > Inspection Summary, select your criteria and click Search, then click on the eye icon beside the inspection to be edited
- Click the Edit Pencil icon on the inspection, you can then edit the Date, Time etc and input in any General Notes
- Click Save
Note: If an inspection time has been updated, the trigger will not send if the auto communications has already been sent for the original inspection. In this scenario, if triggers and auto communications have already been sent, you are best advised to cancel the inspection and create a new one.
Confirm an Inspection Time
Once you have confirmed when the inspection will be carried out, you can update the inspection’s status to Confirmed.
You can access an inspection from the Tenant, Property or Reporting page as follows:
- Tenancy > Inspections Tab
- Property > Inspections Tab
- Trust & Reports > Property > Inspections Summary

Once the start time of the inspection has passed, the option 'Update to Conducted' appears instead of 'Update to Confirmed'.
Note: This can also be done in Bulk if you need to update multiple inspections to the same status.
Cancelling Inspections
Inspections can be cancelled individually or in bulk.
To cancel individual inspections:
- Go to the Tenancy Profile > Inspections Tab
- Click on the red X beside the inspection to cancel the inspection
When using inspection integrations and inspection apps, ensure you also cancel the inspection in your inspection software and app if required.
Note: It is important to remember that once an inspection is cancelled it will not auto schedule based on your company configuration and you will need to manually add and schedule a new inspection for the Tenancy.
