Configure Automated Notices
You can configure Property Tree to automatically send reminder notifications to tenancies when the tenancy is coming up to a rent schedule change date. Multiple notices can be scheduled to send on different days depending how long the before the change is due.
To configure automated rent schedule change notices, go to:
- Configuration > Management Tasks > Automated Communications
- Click the Property Management Tab > Schedule Rent Change: Tenancy
Configure Triggers
Triggers allow you to identify when notices are to be sent depending on the number of days before the rent schedule change is due. They also give you the ability to select the communication method and which notice you wish to send.
- Click the Edit pencil (next to the On/Off toggle)
- Click the + button to add a new trigger
- Enter and select the number of days before, trigger send type, template and property type
Note: When selecting SMS as a trigger type, it is important to note that it is only used as an outgoing SMS service. Therefore tenancies and ownerships cannot reply to an SMS notice they have received.
The templates for each notice can be edited by clicking the edit pencil next to each trigger configured.
Activate Scheduled Rent Change Notices
Once the triggers have been configured, to activate the automated notices:
- On the right side of the scheduled rent change category, select the On/Off toggle to On
When do the notices send?
Property Tree sends rent schedule change notices at 1pm EST. After a notice is triggered, all contacts will be emailed, provided they meet both requirements below:
- Must have an email address
- The Tenancy Contact Type is set to Tenant
If the contacts do not meet the requirements or when the delivery method is selected as Letter, an email will also be sent to the Agency with a link to a .pdf.
Deactivate Automated Notices
You are able to deactivate all automated rent schedule change notices at any point by going to:
- Configuration > Management Tasks > Automated Communications > Property Management
- Toggle the Schedule Rent Change: Tenancy to OFF
