Temporarily Edit an Email Merge Template

Summary

Email mail merge templates can be temporarily edited prior to sending the email. This allows you to edit the template when doing the merge, without making permanent modifications to the existing template. You can also add temporary attachments.

Temporary edits applies both single and bulk mail merge requests for email templates only.  

This article will cover temporarily editing:


Single Email Merge Templates

To temporality edit a single email merge template prior to sending go to:

  • Profile Page > Contacts   
  • Click the Mail Merge Icon

Or to email multiple contacts for this tenancy:

  • Click the Contacts Actions button > Email Multiple 

This will direct you to the Mail Merge wizard.

Step 1.  Select Method
  • On the Mail Merge screen select the communication method - Email
  • Click Next
Step 2.  Select Template 
  • Select the Template you wish to send from the drop-down options
  • Next click 'View/Temporarily modify template'

  • Click into the Template body and make your changed as required
  • Click Save temporary edits to save your changes

Once an existing template is edited, an information icon will display:  "Please Note: The template has been temporarily modified for this mail merge".  

When you click on the information icon it will advise: "To reset template changes, please change template selection".

To add a temporary attachment:

  • Click Add Attachments
  • Drag and Drop your attachment in the box or click Upload Attachment
  • Once uploaded, click Attach Files
  • Click Next to proceed

 Step 4. Create Mail Merge

Details of the Recipient, the Template selected and an information message displays. The information message will only appear when a Template has been temporarily modified for this mail merge.  It also displays the number of attachments.

  • Click Preview Email if required
  • Click Send Email

Bulk Email Merge Templates

To temporality edit a bulk email merge template prior to sending go to:

  • Managements > Communications > Create Mail Merge
Step 1.  Select Method 
  • Select your Communication method - Email 
  • Click Next
Step 2.  Select Template
  • Select the Template you wish to send from the drop-down options
  • Next click 'View/Temporarily modify template'

  • Click into the Template body and make your changed as required
  • Click Save temporary edits to save your changes

Once an existing template is edited, an information icon will display:  "Please Note: The template has been temporarily modified for this mail merge".  

When you click on the information icon it will advise: "To reset template changes, please change template selection".

To add a temporary attachment:

  • Click Add Attachments
  • Drag and Drop your attachment in the box or click Upload Attachment
  • Once uploaded, click Attach Files
  • Click Next to proceed

Step 3.  Choose Recipients
  • Select who this bulk email merge is for by choosing a Profile Type from the drop-down options
  • Net select from the drop-down options to choose the Contact Type from the Profile
  • Click Next
Step 4.  Filter Recipients
  • Select from the Filters required to further refine the intended recipients for this email merge
  • Select Next
Step 5.  Create Mail Merge

The Template Details and Consent will display. An information message will also appear when template has been temporarily modified for this mail merge.  It will also display the number of attachments, the Recipient Type, Contact and a list of all Recipients.

  • Click Preview Email if required
  • Click Send Email

Communication History

Temporary edits made to an existing template will appear in the profile Communication Tab. When a template has been modified, an information icon will display next to the reference. This information message easily identifies when the template has been edited.

This information icon will also display when going to: Managements > Communication History in the Communication Type column.
