Entering Lease Information
When adding a new Tenancy you will be required to enter the following information:
- Original Lease Start Date – Date of the very first Lease Agreement signed for this tenant. This date remains the same for the duration of the tenancy
- Lease Start – Enter the lease start date for the most recently signed Lease Agreement. This field should be updated if a lease is renewed
- Lease End – Enter the lease end date for the current lease agreement. This field can be left blank for periodic tenancies
Note: If no date is entered the property will display as vacant when using the Mobile Contacts App, you will only be able to search for the tenant by their name and not property.
Duration – There are 4 different options for the duration of the lease this includes User Defined, Weeks, Months & Years. Only numerical numbers can be entered in the Duration field
Entering Rent Information
Initial rent Information is added through the Rent Schedule when creating a new Tenancy.
- Rent Start Date - Enter the date on which Rent is to commence being paid in Property Tree ie. Lease Start Date. Or, in the case of taking management from another agency, the Rent Start Date would be the date on which the tenants next rent payment would be due to be paid to your Trust Account based on the paid to date on the Tenant Ledger from the old Agent.
Note: Property Tree rent dates are inclusive. If the previous agency was using a system with inclusive dates then the Rent Start Date would be the day after the tenants paid to date per their previous ledger.
However, if the previous agency was using a system where paid to dates were not inclusive then the Rent Start Date in Property Tree would need to be entered as the paid to date per the tenants previous ledger.
- Amount - Enter the rent amount and frequency that it is to be paid
- Last Rent Review - If applicable enter the last date the tenants rent was reviewed
- Next Rent Review - Enter the date on which the tenants Rent will next need to be reviewed
Additional Lease & Rent Information
Once you have completed the process to add a new Tenancy Profile the following information will display on the profile, go to:
- Tenancy Profile > Lease & Rent Tab > Lease & Rent Information
- Current Rent – The current rent is entered in the rent schedule but displayed in the Lease & Rent Information tab
- Paid To - The paid to date displays the date the tenant is paid to without part payments and only full rent periods will advance the date
- Effective Paid To - The effective paid to date can be different from your Paid to Date, this is due to any part payments paid by the Tenancy which was allocated to rent. Any partial periods will be paid out to the Ownership with the next payment run
- Arrears – The arrears amount displayed is the difference between any part payments and the Rental amounts based on the cycle.
To simplify the Tenancy Ledger it is recommended to enter tenancies on a weekly rent cycle unless they have Direct Debit Set up or Paying Monthly.
- Part Payment - If a tenant pays a different amount than a full rent period it will be recorded as a part payment (In Hand Credit) This can also be caused where a Rent change, changed the Tenants anniversary date
- Charge Tenants Water Usage – It is a good idea to select this box if tenants are to pay water usage. Currently it must be selected in order for Invoice Genius to charge water invoices from Sydney Water to the tenant. Even if your Water Authority does not have the configuration at present for tenant invoicing this may change in the future
- Rent Reviews - Historical and future rent reviews can be entered and updated accordingly
Notices – Automated Communications
If you have automatic arrears notices, automatic overdue invoice notices or automated lease expiry notices, you will have the option to suspend and turn the notices off.
- Tenancy Profile > Lease & Rent Tab > Notices (under Lease & Rent Information)
- Click the Edit pencil
- Select from the drop down options to Suspend Indefinitely or Suspend Until
- If Suspend Until is selected, enter an End Date
Once the date entered has been reached the arrears notices will recommence.
Note: This option will not be visible if the Automated Communication feature is not turned on.
